BOOKING TERMS & CONDITIONS

Modern Traditions Travel LLC (“Modern Traditions,” “we,” “us,” or “our”) offers curated, small-group travel experiences (“Experiences”) designed for healthcare professionals and others seeking culturally immersive, educational travel.

By booking an Experience and submitting a deposit or full payment, you (“Traveler,” “you,” or “your”) acknowledge that you have read, understood, and agree to be bound by these Booking Terms & Conditions (“Terms”).

(We believe in transparency. These Terms are written to be clear and human-readable, but they are legally binding. Please read them carefully and reach out if you have questions.)

1. ASSUMPTION OF RISK & RELEASE OF LIABILITY

Travel—particularly international travel—involves inherent risks. While Modern Traditions carefully curates Experiences, vets partners, and prioritizes safety, we cannot eliminate all risks associated with travel.

By booking an Experience, you acknowledge and accept that travel may involve:

  • Transportation risks (air, ground, water)

  • Remote or unfamiliar environments

  • Differences in infrastructure, sanitation, accommodations, and medical care

  • Physical activity, walking, altitude, climate changes, or weather conditions

  • Exposure to illness, injury, or environmental hazards

  • Cultural and social differences

  • Areas with higher rates of petty or violent crime than you may be accustomed to

You voluntarily assume all foreseeable and unforeseeable risks associated with participation in an Experience and agree to release, waive, and hold harmless Modern Traditions and its representatives from any liability, claims, demands, damages, or causes of action arising out of or related to your participation.

This release applies to you, your heirs, executors, administrators, and assigns.

2. HEALTH, MEDICAL CARE & FITNESS TO PARTICIPATE

Medical standards and access to care vary significantly by destination. Modern Traditions is not a medical provider and does not provide medical care during Experiences.

By booking, you acknowledge that:

  • Medical facilities may be limited, remote, or unavailable

  • Emergency response times may be delayed

  • Standards of care may differ from those in your home country

You confirm that:

  • You are physically and mentally fit to participate

  • You have no condition that would pose a risk to yourself or others

  • You have not been advised by a medical professional to avoid travel or similar activities

You agree to disclose any relevant medical conditions, allergies, or accommodations needs prior to travel. While we will make reasonable efforts to support accessibility, we cannot guarantee accommodation in all destinations.

Modern Traditions reserves the right to decline or cancel participation if a medical condition presents a safety risk.

3. EDUCATIONAL & CME DISCLAIMER

Some Experiences include educational content, professional discussions, or Continuing Medical Education (CME) opportunities.

All educational programming is:

  • Informational and educational only

  • Not intended to replace clinical judgment or professional training

  • Not a substitute for medical, legal, or professional advice

Participants remain fully responsible for how they interpret and apply any information shared during the Experience.

4. TRAVEL INSURANCE REQUIREMENT

Travel medical insurance is required for all Modern Traditions Experiences.

Your policy must include coverage for:

  • Medical expenses

  • Emergency evacuation

  • Repatriation

We strongly recommend coverage for:

  • Trip cancellation and interruption

  • Lost or delayed baggage

  • Personal property

You are solely responsible for understanding your policy’s coverage, exclusions, and limits. Modern Traditions is not responsible for losses not covered by insurance.

5. BOOKINGS, PAYMENTS & DEPOSITS

  • A non-refundable deposit is required to secure your spot

  • Full payment is due by the deadline stated for your specific Experience

  • Bookings made after the final payment deadline require payment in full and are non-refundable

Failure to submit payment by the stated deadline may result in cancellation without refund.

6. CANCELLATIONS, CHANGES & CREDITS

Because Experiences rely on advance commitments to local partners:

  • All bookings are non-refundable

  • Changes must be requested by the deadline listed for your Experience

  • No changes or credits are permitted after that deadline

If Modern Traditions cancels an Experience (excluding Force Majeure events), you will receive a refund of payments made to Modern Traditions. We are not responsible for airfare or other independent expenses.

Travel insurance is the primary means of financial protection for unforeseen circumstances.

7. UNUSED SERVICES

No refunds or discounts are provided for missed activities, late arrivals, early departures, or unused services for any reason.

8. TRAVEL RESPONSIBILITIES

You are responsible for:

  • Booking and paying for transportation to/from the Experience

  • Valid passports, visas, and entry requirements

  • Compliance with local laws and customs

Information provided by Modern Traditions regarding documentation or requirements is advisory only.

9. CONDUCT, DRUG & ALCOHOL POLICY

Travelers are expected to act respectfully, responsibly, and in alignment with local laws and cultural norms.

  • Illegal drug use is strictly prohibited

  • Alcohol must be consumed responsibly

  • Disruptive, unsafe, or disrespectful behavior may result in removal from the Experience without refund

10. AUTHORITY DURING EXPERIENCES

You agree to follow the guidance and instructions of Modern Traditions trip leaders and local partners at all times.

Failure to do so may result in immediate termination of participation without refund.

11. FORCE MAJEURE

Modern Traditions is not liable for delays, changes, or cancellations caused by events beyond our reasonable control, including but not limited to:

  • Natural disasters

  • Political unrest or war

  • Pandemics or public health emergencies

  • Government restrictions

  • Weather events

  • Transportation disruptions

In such cases, no refunds are guaranteed.

12. THIRD-PARTY SUPPLIERS

Modern Traditions acts as an organizer and facilitator and is not responsible for the acts or omissions of third-party suppliers, including accommodations, transportation providers, guides, or venues.

13. OPTIONAL ACTIVITIES

Activities not included in the official itinerary are undertaken at your own risk. Modern Traditions is not responsible for optional or independent activities.

14. PHOTOGRAPHY & MEDIA RELEASE

You grant Modern Traditions permission to use photographs or videos taken during the Experience that may include your likeness for marketing, promotional, and educational purposes, without compensation.

If a professional photographer is present, image rights remain with the photographer.

15. COMPLAINTS & CLAIMS

Any complaints or claims must be submitted in writing within 30 days of the Experience’s conclusion to:

16. SEVERABILITY

If any provision of these Terms is found unenforceable, the remaining provisions remain in full effect.

17. ENTIRE AGREEMENT

These Terms constitute the entire agreement between you and Modern Traditions regarding your booking.

18. GOVERNING LAW

These Terms are governed by the laws of the State of Missouri, without regard to conflict-of-law principles.
